How to Plan a Wedding: Your Step-by-Step Guide from Halton Grove

Planning a wedding is one of life’s most exciting adventures, full of ideas, inspiration, and a little bit of magic. With so many decisions to make, it can sometimes feel like a whirlwind. Where do you start? How do you bring all those Pinterest boards to life?

The truth is that planning your wedding doesn’t need to be stressful, especially when you choose a venue that already has all the space, beauty, and thoughtful details to make your day flow effortlessly.

At Halton Grove, we’ve seen so many love stories take shape across our Northumberland estate, from teary first looks to golden-hour photos that seem to stop time. Every couple’s journey is unique, but there are a few universal steps that can make the planning process smoother, calmer, and even fun.

Here’s our step-by-step guide to planning your wedding, with a few insider tips along the way.

1. Set Your Budget and Priorities

Before you fall head over heels for floral arches or bespoke stationery, it helps to map out your budget. Decide what matters most: the setting, the food, or the music, and build around that.

A good rule of thumb is to allocate around 30 to 50 percent for your venue, 20 to 30 percent for catering, and the rest for attire, décor, photography, and entertainment. Always leave a little room for the unexpected, because there are always a few delightful extras you won’t want to say no to.

At Halton Grove, we make this stage simple. With transparent pricing and everything under one roof, including accommodation, catering, and on-site coordination, you’ll know exactly what’s included from the start. This clarity helps you plan with confidence and focus on what truly matters.

2. Choose a Date and Book the Venue

Once your budget is set, it’s time to choose the setting that feels right for your story. You might imagine a sunlit summer celebration surrounded by gardens in full bloom, or perhaps a winter gathering filled with candlelight, laughter, and the scent of mulled wine.

At Halton Grove, couples enjoy exclusive use of the entire estate for a three-day, two-night stay. This allows you to slow down, settle in, and savour every moment. The hire includes full venue access, accommodation, and ceremony setup.

Pricing for 2025–2028 ranges from £10,500 to £17,000, depending on the month and whether you’re planning a weekday or weekend wedding. After your first visit, once we know your guest numbers and preferred date, we’ll prepare a bespoke quotation that fits your celebration perfectly.

The venue is particularly popular during spring and summer, so securing your date at least a year in advance is highly recommended. With both indoor and outdoor ceremony options available, you can plan with peace of mind whatever the Northumberland weather decides to do.

3. Create Your Guest List

Your guest list shapes almost every part of your day. Start with your nearest and dearest, then expand to extended family and friends. For weddings of 50 to 200 people, it’s normal to see a few changes as RSVPs come in.

To stay organised, use a shared spreadsheet to track attendance, dietary needs, and seating. It may not sound romantic, but trust us, future-you will be very grateful.

4. Assemble Your Wedding Team

Now comes the fun part: building your dream team. Choose a photographer and videographer who understands your style, whether that’s candid storytelling or classic elegance.

A wedding coordinator is included as part of your experience at Halton Grove, so you’ll already have someone on hand to manage timelines, suppliers, and every detail of your stay. Bringing in an additional coordinator is rarely necessary and often means paying twice for the same role, so you can save that part of your budget for something else special.

When it comes to food, you’re in expert hands. All dining at Halton Grove is handled by our in-house catering team, who will look after you and your guests throughout your entire stay. From a relaxed welcome dinner or BBQ to the wedding breakfast and everything in between, our head chef and events manager will ensure every dish feels special and every glass is filled.

For the wedding day itself, feasting and sharing-style menus are especially popular, creating a warm, social atmosphere that perfectly complements the countryside setting. Whatever your vision, our team will help curate a menu that reflects your tastes and accommodates every guest.

5. Plan the Ceremony and Reception Details

With your venue and team in place, you can start shaping the rhythm of your day. Think about how you’d like it to feel: timeless and elegant, or relaxed and full of laughter. Plan your ceremony, drinks reception, and dinner around those emotions.

At Halton Grove, the setting itself provides the perfect canvas for your celebration. Whether you exchange vows outdoors surrounded by greenery or inside our charming ceremony space, every moment is designed to feel effortless and personal.

6. Handle Attire, Invitations, and Décor

Finding the perfect outfit is one of the most joyful parts of the process. If your dress or suit is bespoke-made, allow nine to twelve months for the design and fittings, with around six months for delivery. This gives you time to enjoy the experience without any pressure.

Once your attire is underway, move on to invitations. Typically, save the dates are sent nine to twelve months in advance, followed by formal invitations closer to the day. This gives your guests plenty of time to plan, especially if they’re travelling.

When it comes to décor, take inspiration from your surroundings. Halton Grove’s blend of natural textures and timeless character means you can keep things simple. A scattering of seasonal flowers or soft candlelight is often all it takes to make the space feel utterly enchanting.

7. Address Legal and Administrative Tasks

It may not be the most glamorous part, but the paperwork matters. The good news is that if you’re having a legal ceremony at Halton Grove, you’ll simply contact the registrars in Northumberland, who handle all aspects of the marriage licence for you. This means you don’t need to apply separately, which takes one more task off your list.

Once that’s confirmed, you can finalise your officiant and arrange any transport or accommodation details for your guests. A wedding website can also be a helpful tool for sharing travel tips and updates in one place.

8. Finalise Logistics and Rehearse

As your wedding approaches, gather everything into a single timeline that covers who’s arriving when, what’s happening where, and who’s in charge of what.

If you’re celebrating at Halton Grove, our dedicated team will coordinate with your suppliers and make sure everything runs seamlessly. We’ll be there throughout your stay to handle the small details so you can focus on what matters most: the joy, laughter, and love that the weekend brings.
